Key Responsibilities

    • Provide administrative and operational support to the Project Manager and project team
    • Assist in preparing project plans, schedules, work plans, checklists, and other project-related documents.
    • Coordinate with project team members, clients, vendors, contractors, and other stakeholders to ensure smooth project operations.
    • Monitor project activities and follow up with responsible team members to ensure tasks are completed within agreed timelines.
    • Maintain accurate and up-to-date project records, files, reports, contracts, correspondence, and documentation.
    • Prepare regular project progress reports, meeting minutes, presentations, and status updates for management.
    • Schedule and coordinate project meetings, site visits, appointments, and other project-related activities.
    • Follow up on action points and pending tasks arising from project meetings and provide updates to the Project Manager.
    • Assist in tracking project timelines, milestones, deliverables, expenses, and resource requirements.
    • Support the Project Manager in monitoring project budgets and maintaining records of project-related expenses.
    • Assist in collecting, organizing, and analyzing project data for reporting and decision-making purposes.
    • Coordinate with suppliers, contractors, and service providers regarding project requirements, deliveries, documentation, and follow-ups.
    • Assist with procurement-related activities, including obtaining quotations, preparing comparative statements, and following up on orders and deliveries when required.
    • Support project documentation and ensure that all required approvals and records are properly maintained.
    • Identify and report project-related issues, delays, or risks to the Project Manager promptly.
    • Assist in coordinating project site activities and field-level requirements when required.
    • Ensure effective communication between the project team and relevant departments.
    • Perform other project-related administrative and coordination duties assigned by the Project Manager or management.

Job Requirements

    • Bachelor’s Degree in Management, Business Administration, Project Management, Preferred.Candidates with an ongoing Bachelor’s degree and relevant work experience will also be considered.
    • Minimum 1 year of relevant experience in project coordination, administration, operations, or a related field.
    • Assist the Project Manager in planning, coordinating, and executing construction projects.
    • Support tender preparation, documentation, BOQ, quotations, and project proposals.
    • Coordinate with contractors, suppliers, consultants, clients, and site teams.
    • Assist with day-to-day construction site operations and project activities.
    • Monitor project progress, work schedules, materials, manpower, and site requirements.
    • Maintain project documents, drawings, reports, contracts, and other records.
    • Assist in preparing project progress reports, meeting minutes, and site documentation.
    • Conduct site visits and support the Project Manager in monitoring construction progress and quality.
    • Assist with procurement and ensure timely availability of required materials and equipment.
    • Support coordination between the office team and construction site team.
    • Follow up on project deadlines, pending activities, and required corrective actions.
    • Ensure compliance with project specifications, safety requirements, and company standards.
    • Proficient in MS Office, particularly MS Excel, Word, and PowerPoint.
    • Good knowledge of preparing reports, maintaining records, and handling documentation.
    • Strong organizational and time-management skills.
    • Good written and verbal communication and interpersonal skills.
    • Ability to coordinate with multiple teams and stakeholders effectively.
    • Ability to work independently as well as in a team environment.
    • Ability to manage multiple tasks and meet deadlines.
    • Willingness to travel to project sites when required.
    • Two-wheeler with a valid driving license will be an added advantage.
